How Verbleif collects, uses and protects your data and your guests' data.

This privacy policy explains how Verbleif B.V. (“Verbleif”, “we”, “us” or “our”) collects, uses, stores and protects your personal data when you use our web and mobile application (app.verbleif.com) or our website.

1. What data do we collect?

  • Company and administrative data: when creating an account and purchase order (such as company name, VAT number, address, first name, last name and email address).
  • User data: for additional users within an organisation (such as first name, last name and email address).
  • Technical and usage data: such as IP address, browser type, device information and interactions within our web and mobile application.
  • Support information: messages, screenshots or feedback you submit through Crisp (live chat) or Gleap (bug and feedback system).

2. How do we collect your data?

We receive your data, among other ways:

  • When you register through our web or mobile application or place an order.
  • When you use our website or app (through cookies or similar technologies).
  • When you contact us by email, phone, chat (Crisp) or submit a report through Gleap.

3. How do we use your data?

We use your data to:

  • Provide access to our web and mobile application through personal login credentials.
  • Inform you about product updates, maintenance or security.
  • Enable billing, support and licence management.
  • Follow up on and answer your reports or questions through Crisp or Gleap.
  • Send you marketing communication about new features or services, if you wish.

4. How do we store your data?

  • Your data is stored securely on Amazon Web Services (AWS) in Frankfurt, Germany (EU).
  • Verbleif uses Amazon S3 for file storage and Amazon CloudFront for fast, secure delivery within Europe.
  • Email messages and system notifications are sent through AWS Simple Email Service (SES).
  • Your data is retained for as long as your licence is active. After your subscription ends, your data is deleted within 6 months, unless you request earlier deletion.

5. Do we collect data from visitors to publications?

Yes. When your organisation shares publications through Verbleif, we may collect limited technical data (such as IP address and time of access) to safeguard performance, security and usage statistics.

6. Marketing

Verbleif may inform business users about news, updates and relevant product information. All marketing and service emails are sent through AWS SES. You can unsubscribe at any time via the unsubscribe link in the email or by contacting us.

7. Your data protection rights

Verbleif makes sure you are fully aware of all your rights under the General Data Protection Regulation (GDPR):

  • Right of access: you can request a copy of your personal data.
  • Right to rectification: you can have inaccurate or incomplete data corrected.
  • Right to erasure: under certain conditions you can request that your data be deleted.
  • Right to restriction of processing: you can ask us to temporarily restrict processing.
  • Right to object: you can object to the processing of your data.
  • Right to data portability: you can request that your data be transferred to you or another organisation.

8. Cookies

Cookies are small text files placed on your device to improve your experience and collect technical information.

9. How do we use cookies?

We use cookies to:

  • Remember your login status in the web and mobile application.
  • Save your language and location preferences.
  • Enable chat support through Crisp and feedback through Gleap.

10. What types of cookies do we use?

  • Functional cookies: required for basic functionality (such as logging in and preferences).
  • Analytics cookies: help us understand usage patterns and performance.
  • Advertising cookies (with consent): used for marketing through Google Ads, YouTube and LinkedIn, among others.

We only share limited, anonymised data with external partners.

11. How to manage cookies

You can set your browser or device to refuse or delete cookies. Please note: certain features of the Verbleif app will not work without cookies. You can adjust your cookie preferences within the website.

12. Privacy policies of other websites

Our website and application may contain links to external websites. This privacy policy applies to Verbleif only. We recommend reviewing the privacy policy of external websites separately.

13. Changes to this privacy policy

Verbleif may update this policy periodically. The latest version is always published on verbleif.com.
